How to setup and configure mailbox delegates in MS Office 2013

Assigning Delegates

  1. To access the Delegate Wizard click File to open the Backstage View
    • Choose the Info page
    • Click Account Settings
    • Select Delegate Access from the dropdown

 

 

 

  1. The Delegates Wizard will open
    • Click Add

  2. The Add Users (Address Book) screen  will open
    • Enter or search for the email address or name of the person you wish to share your calendar with.
    • Double-click their name, it should appear in the Add-> field
    • Click the OK button

  3. The Delegate Permissions screen will open. 
Types of PermissionPrivilegesSet up
Reviewer
  • Can see calendar details
  • Cannot edit or delete
  • Select Reviewer on the drop down menu for calendar
Author
  • Can see calendar details
  • Can edit/delete items that they've created
  • Cannot edit/delete items other delegates or the owner created
  • Select Author on the drop down menu for calendar
Editor(receives meeting related emails)
  • Can see calendar details
  • Can edit/delete all items
  • Receives all email invitations or responses for owner
  • Select Editor on the drop down menu for calendar
  • Check "Delegate receives copies of meeting-related messages sent to me
Editor (doesn't receive meeting related emails)
  • Same as Editor (above) but do not receive email invitations or responses for owner
  • Select Editor on the drop down menu for calendar
  • Uncheck "Delegate receives copies of meeting-related messages sent to me"

  • If you check the box beside “Automatically send a message to delegate summarizing these permissions”, an email will be sent to your delegate itemizing the permissions.
  • If you want, select the “Delegate can see my private items” check box. If you choose this option your delegate will be able to see appointments or meetings your have marked as private.
  • Click OK

  1. The Delegates screen will reappear.
    • At the bottom of the screen you have a choice of how you would like to handle meeting requests and responses.
    • Choosing My delegates only, but send a copy of meeting requests and responses to me (recommended) allows your delegate to manage your calendar, but you receive copies so you know what is happening.
    • NOTE: this only applies to Editor delegates whom you have checked " Delegate receives copies of meeting-related messages sent to me". If you only have reviewer or author delegates, this won't apply to you.
    • Choose one and click OK

    NOTE: If you choose My delegates and me you could run into collisions and unexpected behavior if both you and your delegate accept or decline a meeting, have different responses, respond at the same time etc.

 

 

 


Removing Delegates

  1. Follow steps 1. and 2. above to navigate to your list of delegates.
  2. Click the delegate you wish to remove and click Remove.
  3. Click OK
